# Exhibiting at an Istanbul trade fair: hotels, transfers and client dinners

> The stand is only part of a successful fair. Where your team sleeps, how it moves and where you take clients in the evening matter just as much.

## In short

- Book hotels as soon as fair dates are confirmed; demand spikes city-wide.
- Stay close to the fair or on a direct rail line rather than in the most famous district.
- Plan shared shuttles at fixed times instead of relying on taxis at peak hours.
- Reserve client dinner venues early, and choose places that are easy to reach after a long day.

## Overview

Istanbul is one of the region's major trade fair cities, hosting international exhibitions across sectors from textiles and food to construction, tourism and technology. For exhibitors, the stand itself gets most of the attention and budget. But the team's experience around the stand, where they sleep, how they get to the fair and where they take clients in the evening, has a big effect on how productive those few days are. Here is how we plan the logistics around an Istanbul fair.

### Know where your fair actually is

Istanbul's main exhibition venues are spread across the city. Several of the largest are on the European side towards the west, such as the exhibition area in Yeşilköy near the former Atatürk Airport and the large fair and congress centre at Büyükçekmece. Others, such as the congress venues around Harbiye, are close to the city centre. The distance from your hotel to the venue can vary from a short walk to more than an hour in traffic, so confirm the venue first and plan everything else around it.

### Hotels: book early and stay smart

- **Book as soon as dates are confirmed.** Large fairs fill hotels across the city, not just near the venue. Rates rise and availability drops as the fair approaches.

- **Prioritise location over fame.** A hotel near the fair or on a direct rail line will save your team hours over the week compared with a famous district across the city.

- **Consider splitting the team.** Stand staff who need to be at the fair early can stay close by, while senior people hosting client dinners can stay more centrally.

- **Check the contract terms.** Fair-period bookings often have stricter cancellation and prepayment conditions.

### Transfers: build a timetable

Istanbul traffic is the single biggest risk to a smooth fair. Taxis are plentiful most of the time but hard to find when thousands of visitors leave a fair at the same moment.

1. **Airport arrivals:** collect flight details for the whole team and arrange meet-and-greet transfers, especially for those arriving the evening before set-up.

2. **Daily shuttles:** run a private shuttle from your hotel to the fair at fixed times in the morning and evening. It is often cheaper than individual taxis and far more reliable.

3. **Rail options:** where your hotel and the fair are on the same metro or Marmaray line, rail can be faster than any vehicle at rush hour.

4. **Freight and samples:** coordinate deliveries with the fair's official logistics partner and confirm customs requirements well in advance for goods coming from abroad.

**Practical tip:** schedule the evening shuttle to leave 30 to 45 minutes after the fair closes, not exactly at closing time. Your team can finish conversations at the stand, and you avoid the worst of the exit traffic.

### Client dinners: where business really happens

For many exhibitors, the client dinner is as important as the stand. Istanbul offers an exceptional range of options, from Bosphorus restaurants and rooftop terraces to traditional meyhane and private dining rooms.

- Reserve early. Good restaurants fill quickly during big fairs, particularly for groups.

- Choose a venue that is easy to reach after a long day. A spectacular restaurant two hours away in traffic is not a good idea after ten hours on your feet.

- Consider a private boat dinner on the Bosphorus for key clients, with pick-up close to the hotel.

- Check dietary needs and confirm whether guests prefer alcohol-free options.

### Look after your stand team

Fair days are long and tiring. Arrange proper lunches and water at the stand, a rota so people can take breaks, and at least one relaxed evening without client obligations. A team that is rested sells better on the last day than one that has been running on coffee all week.

Do not forget the days on either side of the fair. Build-up and dismantling usually run to strict time slots set by the organiser, and your stand builder, freight forwarder and team all need to be in the right place at the right time. Book hotels to cover set-up day, and plan the last evening carefully: dismantling often finishes late, and flights booked too tightly are a common source of stress.

Send us the fair name, your dates and the size of your team. BravoDays will propose hotels, a transfer timetable and client dinner options, so your team can focus on the stand.
